Work order software

Work order software that answers "who's on it?" before anyone asks

Most of a work order's life is spent in phone calls about it. In fam., the job, the people on it, the deadline and the cost are all on one ticket, and the person who asked can follow it without chasing anyone.

A work order is a job someone has to do: a light to replace, a lock that sticks, a boiler that's due its yearly service. In fam. it's called a ticket, and it holds the whole job, from the first message to the rating at the end.

You've had this week. The same leak comes in three times, by email, by phone and in the corridor. Two people go out to it and nobody goes to the next one. On Friday, nobody can say what the month's repairs cost.

Every job lands with the right people

Anyone in your organization can create a ticket, and it won't cost you a seat. Requester seats are free and unlimited. People start from a location, an asset or the request itself, fam. asks only for what's missing, and they attach a photo if it helps. How your admins build that list of requests in your organization's own words is on our ticketing system page.

For each request at each location, your admins choose who handles it in business hours and who handles it out of hours. A new ticket goes straight there, so nobody spends the morning handing out jobs from an inbox.

A ticket can go to an organization, like your maintenance provider, or straight to a team or a person. It also shows the office operator or team handling it and the field operator or team doing the work on site. If the job changes hands, the timeline shows who took it and when.

Deadlines everyone can see

The priority sets three deadlines: acceptance, first attendance and resolution. Click it on any ticket and you'll see when each one falls, whether it was met, and which hours counted towards it. The monthly review starts from what happened, and nobody's memory gets a vote.

Urgent tickets that nobody has picked up yet have a page of their own, so you'll know where the morning starts. There's more on why those three deadlines are worth keeping apart in what a service level agreement promises.

Ticket #51301 is a worked example from the product demo. Open the demo and work one yourself.

A worked example from the product demo: ticket #51301, a boiler losing pressure at 21:47 on a night shift. Open it and you'll see the provider accept it in 38 minutes, plan the visit for 07:30 and finish the job the next morning.

Follow the job without picking up the phone

The operator selects Accept to take the ticket and Schedule to say when they'll come. They check in when they arrive and check out when they're done, and each step goes on the ticket's timeline.

The person who created the ticket watches it from the start, so every step reaches them in the app and by email. They can turn either one off, and the "any news?" calls stop on their own.

If the request has a checklist for the end of the job, the operator fills it in at check-out and the answers stay on the ticket. Readings, photos and the questions you'd want answered are all there next time. How checklists work has the details.

When the work is done and confirmed, the person who asked rates it with stars and a line on why. After a few months you'll see which work is done well and where it isn't.

Know what every job cost

When a job costs money, the operator adds a cost to the ticket, or connects a quote to it, and picks who approves it. That person hears about it right away. A cost that fits the ticket's budget is approved on the spot, and the ticket shows its current cost and how much of the budget is left.

For month-end, the table view lines up the labor, materials, shipping, travel and other parts of every cost and quote, with their totals. Amounts appear in your reporting currency wherever there's an exchange rate. Save the table as a view and it's ready next month too.

Pick the asset on the ticket and its approved costs count towards it. Our CAFM software page shows how fam. lets you know when its upkeep gets too close to the price of a new one.

Repeat jobs, already on the calendar

Monthly inspections and quarterly services are planned tickets. An admin sets one up once, and fam. creates them on schedule, with the person or team doing them and the checklist for the job. Each visit has its own budget, and if one visit has to move, the rest stay where they were. There's more in preventive maintenance is a calendar problem.

How much does work order software cost?

With fam., you pay for the people who run the system and the people who do the work: Admins and Operators each have a paid seat on the Operations plan. Requester seats are free for as many people as you have.

There's no setup fee and no lock-in, and you can cancel at the end of any billing period. You'll find the numbers on the pricing page.
